GDPR- Privacy Policy- Membership data
We collect data solely to administer the running of the Club and your membership thereof. We only keep data relevant to this process.
Once we no longer need the information to administer your membership your information will be destroyed.
We don’t sell or give your information to third parties unless required to by law or a lawful court order.
We will never pass on data unless we get your permission to do so unless ordered to do so by a lawful court order.
Information is controlled by the committee and you should contact any committee member for any concern over the use of data.
Your rights under law are not affected by this policy. You have the right to see data, delete data, ask us to amend data, ask that we don’t use or process your data and you have the right to make complaints about our use of data to the Office of the Information Commissioner
RACES REFUNDS and TRANSFERS
Unless otherwise stated, we do not offer refunds or transfers for our races, to minimise our admin.
However, we WILL refund booked coach places for the London Marathon where a runner has pulled out of the race due to injury or illness, provided we are informed at least seven days prior to the event.
GDPR – General (excluding races)
Your details will be used as follows:
– Membership details are kept in an online database (accessed using secure internet protocols) and shared with organisers of the event on a need to know basis. The online database is erased after all events for that season have taken place. A local copy of Entrant details is kept for 6 years.
– Entrant details provided will be used for administration of the event as we deem necessary.
– Limited Entrant details (such as name, gender, club, age group) may be published on our website.
– We may contact Entrants for administration purposes and promotion of future races.
– We may share full Entrant details with medical providers (when it is deemed necessary to do so).
– We do not sell Entrant details for commercial purposes.
GDPR – Races
If you enter one of our races, your details will be used as follows:
– Entrant details are kept in an online database (accessed using secure internet protocols) and shared with organisers of the race on a need to know basis. The online database is erased after all events for that season have taken place. A local copy of Entrant details is kept for 6 years.
– Entrant details provided will be used for administration of the event as we deem necessary.
– Limited Entrant details (such as name, gender, club, age category) may be published on our website.
– Limited Entrant details (such as name, gender, club, age group) will be provided to the results processing organisation (where applicable) for the purpose of compiling results and awarding trophies.
– Results may be published online on our website and elsewhere, including submission to the press. Results may also be sent to England Athletics for their PowerOf10 service. We keep Results permanently.
– Full Entrant details and Results will be sent to the permit provider (typically Run Britain or Suffolk County Athletics Association).
– Where the race is part of a league or series, Entrant details and Results will be shared with the organiser for the purposes of administrating that series.
– We may contact Entrants for race administration purposes and promotion of future races.
– We may share full Entrant details with medical providers (when it is deemed necessary to do so).
– We do not sell Entrant details for commercial purposes.
